Clinic Analysis Report (Previously KPI Report)
Clinic Date – Date of clinic
Staff Member – Staff member who conducted the clinic
Day – Full day or half day
Px - Number of pxs who attended were booked in a clinic. NB if a px visited twice in the day that only counts as 1; if a px was never booked in the appt system but had a test that day from the optom they could still be included in the ‘dispensible’ total.
FTA – Number pf pxs who failed to attend
New Px – Number of pxs booked into clinic who at the time of clinic did not have any CL or Rx record prior to the clinic date
NHS – Prescriptions associated with this clinic of type NHS or NHS Dom
Retest – Prescriptions associated with this clinic of type Retest
No Rx –Today’s prescriptions completed by the optom – excluding re tests, test elsewhere and Non Sight tests - that have outcome of ‘No Rx.’
Dispensible – All sight tests today, excluding re tests, test elsewhere and Non Sight tests, that did NOT have outcome ‘No Rx.’ (I.e. all sight tests today where a dispense might reasonably have been achieved.)
CL Visit – Cl records completed for that optom today
Dispensed - Patients who saw optom on the day and bought specs (i.e. a product containing a specs component) that day. (NB this is the number of patients, not pairs of specs)
Non Sight Test – Patients seen that day of type non sight test (e.g. supplementary)
Calling – Patients who have an outcome of ‘Calling Back’ recorded against their test but (at the time the report is being run) have not yet returned.
Called – Patients who had the outcome ‘Calling Back’ recorded against their test, did NOT have a dispensing on the day of the test, but have returned to purchase specs within 7 days of the test date.

New Px: Pxs with ‘Date Created’ in range (N.b. excludes transfer from other branches)
Px Seen:
1st number: All appts in date range where attended is true;
2nd number: As above but where appt type is linked to C Lens appt type
3rd number: As above but where appt type is NOT linked to either sight test or CL visit (e.g. supplementary)
Sales:
1st number: Total sales value specs (specs component=true, but EXCLUDES sunglass frames sold as rx sunspecs);
2nd number: Total sales value sunspecs;
3rd number total sales value othe
Cash: Money received today (includes PDQ etc)
Bankings: monies deposited (i.e. total of ‘Bankings in Period’) excluding discrepancies
Underbanking: Discrepancy as recorded in Banking for the day (may be positive or negative)
KPIs Report
Spec Sales – Sales of any products in the product groups Lens, Frame, Glazing, Lens Finish, (i.e. they do NOT have to have been dispensed and they do not include the frame element of a pair of glazed sunglasses)
Sunglass Sales – Sales of sunglass frames (includes the frame element of any dispensed sunglasses)
Prof Fee Sales – Sales of Prof fees
CL Sales – Sales of C Lenses (This includes lenses that have been supplied as part of a DD/SO package)
Other Sales – All sales of remaining product groups
Note 1: These sales figures will add up to the total sales figure reported in the PoS Reports/Sales Analysis Summary by Product Group, which can in turn be further analysed down to transaction level.
Note 2: All these sales figures are net of any refunds or write offs, e.g. if a px buys a pair of specs then in the same period returns them and the full value of the sale is written off, then the sales figures will be reduced by that amount.
DD/SO Patients: No of patients who have a current DD/SO mandate at period end.
DD/SO Revenue: Value of DDs/SOs collected during the period (this corresponds to the DD Reports/DDs/SOs Collected Report for the same period)
Private Tests: The number of prescriptions entered of type ‘Private’ or ‘Corporate’
NHS Tests: The number of prescriptions entered of type ‘NHS’ or ‘Domiciliary’
Conversion Ratio: The number of transactions that contain a specs component divided by the number of Private or NHS tests as defined above.
Other Tests: All prescriptions entered in the period that are not one of the Private or NHS tests defined above, i.e. Re-test, Test Elsewhere, Non Sight Test, Non ST Valid Rx
Total Appointments Attended: Appointments attended (of any type).
% Appointments Attended: Percentage of appointment slots available (excluding reserved appointments) where a px attended.
% Minutes Attended: The same figure expressed as a percentage of the total available minutes.
Number of New Patients: Number of patients added to the database (not necessarily seen) in the selected period. Notre this does NOT include patients transferred from other branches.
Average Age Of Patients Seen: Average age of patients who have attended a clinic in the selected period, at the time they attended.
Patients Lost: Patients who have been cancelled in the selected time period.
Patients Dormant: Patients who are not cancelled but who either, a) have NEVER had a sight test of any type, or b) have not had a sight tests for more than five years since the start of the selected period.
