Method 1: Booking an Appointment for the active patient record

Use Cases:
1. The patient has given you their name in advance of discussing appointment dates and time.

Steps:

1. If you do not already have the patient record open, click into the search box

2. Search for the patient

3. Click on the patient's name displayed in the search results list.

4. The patient record will open.

5. Click on the diary icon at the top of the screen

6. Use the navigation buttons to move through the diary, to find a suitable space for the patient.

7. Single Click in the free appointment slot.

8. This will open the appointment booking form.

9. Select the appointment type the patient wants to book.

10. If necessary, make any applicable notes about this appointment in the notes section.

11. Click on the save menu, and select the applicable save option

a.        Save with SMS will save the appointment and send the patient a text message confirming their appointment.
b.       Save with receipt will save the appointment and print a slip on the receipt printer with the patient appointment information on.
c.        Save with email will save the appointment and send the patient an email confirmation.

 

 

Method 2: Drag and drop booking from the diary search

Use Cases:
1. Due to the conversation flow, you have had to open the diary for to discuss dates and times before getting the patient’s name.
2. You are working on a patient module e.g. Ordering, and do not want to close what you are doing to book an appointment for another patient.

Steps:
1.    Click on the diary icon at the top of the screen.

2.    Use the navigation buttons to move through the diary, to find a suitable space for the patient.

3.    Once an appointment slot has been located

4.    Click in the patient search box in the bottom left-hand corner of the screen.

5. Search for the patient using either ID, patient name (surname, forename), DOB, postcode.

6. Once the patient has appeared in the search results box, drag and drop the patient into the chosen appointment slot.

7. The appointment booking form will open.

8. Select the appointment type the patient wants to book from the drop down.

9. If necessary, make any applicable notes about the is appointment in the notes section.

10. Click on the save menu, and select the applicable save option
a.        Save with SMS will save the appointment and send the patient a text message confirming their appointment.
b.       Save with receipt will save the appointment and print a slip on the receipt printer with the patient appointment information on.
c.        Save with email will save the appointment and send the patient an email confirmation.

 

Method 3: Using the appointment booking form search

Use Cases:

6. Search for the patient by ID, patient name (surname, forename), DOB, postcode.

Method 4: Using the appointment slot search

Use Case:
1. The patient wants to book an appointment with a clinician that have a very booked up diary and you would like to check for applicable gaps without scrolling through the diary

Steps:

  1. Click on the appointment diary icon.

  2. Use the patient search in the bottom left hand corner.

  3. Once the patient name has appeared in the search results, click on the 3 dots to the right of the patients name.

  4. Select the option 'Appointment Search' from the Quick Pick Menu.

  5. The appointment search side window will appear, from here select the optometrist from the drop down at the top of the new window.

  6. Then click on the appointment type the patient wants to book from the below list.




  7. The number of appointments available in the upcoming months will be displayed.

  8. Select the month in which the patient would like to book an appointment.

  9. The number of available appointments each day will be displayed.
  10. Select the day of interest.

  11. The appointment times will be displayed in the list.

  12.  Click the green tick next to the appointment the patient would like to attend.



  13.  The appointment booking form will open.

  14. Select the appointment type the patient wants to book from the drop down.

  15. If necessary. make any applicable notes about the appointment in the notes section.

  16. Click the save menu, and select the applicable save option.


At any point the appointment search proces you can click the 'Go Back' button, to go back a stage.

The selected day will be show to the right of the appointment search column so you can check the proceeding and following booked appointment to ensure diary booking optimisation.
