This will explain the process of ordering contact lens trials for a patient.

The Contact Lens Trials form can be accessed through either the CL Rx form or the Clinical Contact Lens form.

The top section of the trial lens form lists all the trial lens records for the patient.

The bottom section of the form is a mini clinical record for each trial lens. 

When you confirm a clinical record the information regarding the lens prescription, over refraction and comments will be copied into the main contact lens clinical record form.

Double click on a trial lens in the top list to select that trial lens.

Selected lenses will be highlighted grey in the top box and the details associated to that lens will be displayed.

 

Adding a New Trial Lens

When you open the Trial Lens from no contact lens will be selected so you can start adding a new lens straight away by selecting the CL brand from the drop down.

If you have a trial lens already selected, then you can click on the ‘New Trial Lens’ button to start a new lens record.


Once you have completed adding the lens information click the ‘Save Trial Lenses’ button to save the information and add the lenses to the list in the top box.


 

Requesting Contact Lens Trials Are Ordered

To create a request for some contact lens trials to be ordered, double click on the right lens and then the left lens that you would like ordered.

They will be highlighted grey in the list and the lens information will be displayed in the record section.


Click on the ‘Order Trial Lenses’ button.


Select the products that you would like ordered for the right and left lens from the drop down.


Click ‘OK’.

This will enter a contact lens order request in the patient’s contact lens order holding area (in the CL Mgmt. Form), so that the lenses will be ordered when the order process is run by the front of house team.

 

Marking Trial Lenses as Collected

Double click on the right lens and then the left lens that you would like ordered.

They will be highlighted grey in the list and the lens information will be displayed in the record section.

Use the ‘Collect’ buttons to mark the lenses as collected.

Clicking on a ‘Collect’ button will enter todays date in the ‘collected on’ field and open a notes box for any collection notes e.g. 5 lenses collected.

 

Confirming Trial Lenses

Double click on the right and left lens you would like to confirm so that they are highlighted grey, and the contact lens details are shown on the record.

When you confirm a trial lens, the details are copied into the main contact lens clinical record. You can either create a new clinical record for this information to be copied into or you can copy it into an existing record.

‘Create New CL Record’ will create a new CL Clinical record with today’s date as the test date and copy the details from the trial record into the contact lens clinical record.

‘Overwrite CL Record’ will take the information from the trial lenses and overwrite the last contact lens clinical record.

 

If you choose to copy into an existing record using the ‘Overwrite CL Record’ button, then the following fields in the clinical record will be overwritten.

 

Other Features of the CL Trial Form

Duplicate Trial Lenses

The ‘Duplicate Trial Lenses’ button will duplicate the selected trial lenses (brand and prescription information only) into a new record. Allowing you to make small prescription amendments and then to save as a new set of trials.

Delete Trial Lenses

The ‘Delete Trial Lenses’ button will delete the selected lenses.

ID Fields

The ‘ID Fields’ are free type fields you can use to put an ID against a lens, you can then mark the ID on the corresponding trial box to make it easier for the patient to advise the practice which trial lenses they prefer.

 

Import Template - you can import templates into the trial contact lens record form like the main clinical record form.

Remove All Tags - the ‘Remove All Tags’ button will remove any unused tags from the template.

 

Worked Examples of Using the CL Trial Form

This would be the process if the patient has a contact lens aftercare and this results in the trial of new lenses and the patient needs a collection appointment -

Part 1…

Complete the CL aftercare on the main CL Clinical record as normal.

The end of the aftercare results in the need for a new CL to be trialled.

Open the CL Trail form from the clinical record.


Select the contact lens brand and prescription details from the drop down.


Save the trial lenses.


Click ‘Order Trial Lenses’.


Select the trial product from the drop down and click 'OK'. The order request for the trials will be processed by the front of house team.

Patient has a contact lens collection appointment booked.

Part 2…

At the patient’s collection appointment open the CL Trial Form through the Contact Lens Clinical Records module.

Double click on the right and left trial lens from the top box to select the trial lenses.

Mark the lenses as collected by clicking on the ‘Collect’ buttons.

Complete the collection appointment by completing the relevant fields on the trial form, VA’s and notes about the contact lens fit in the right and left boxes.


Once completed and you would like to confirm the patient is proceeding with the new lenses, click on the ‘Create New CL Record’ button.


This will copy the information from the trial lens record into a new main contact lens clinical record.

Complete any other fields on the main clinical record e.g. recall and exam outcome.


Save and confirm this main contact lens clinical record to update the patients contact lens specification.

 

This would be the process if the patient has a contact lens aftercare, resulting in a trial of new lenses and no collection appointment is required for the patient - 

Part 1…

Complete the CL aftercare on the main CL Clinical record as normal.

The end of the aftercare results in the need for an amended contact lens prescription.

Open the CL Trail Form from the Clinical Record.


Select the contact lens brand and prescription details from the drop down.


Click ‘Save Trial Lenses’.


Click ‘Order Trial Lenses’.

Select the trial product from the drop down and click ok. The order request for the trials will be processed by the front of house team.

It is noted down that the patient can collect without an appointment.

Part 2…

Patient arrives at the practice to collect their trial lenses.

The Contact Lens Trial form is opened by a member of the front of house team through the ‘CL Rx’ form.


                             

Double click to select the trial lenses the patient is collecting.

Click on the relevant ‘Collect’ button to mark the contact lenses as collected.

Part 3….

The patient is phoned or phones to confirm they are happy with the amended prescription.

A member of the front of house team opens the Trial Lenses form through the CL Rx form.


Double click to select the lenses the patient is ringing to confirm they are happy with.

Click the button ‘Create New CL Record’.

This will create a new contact lens specification for the patient (but a new contact lens clinical record will not be created as the patient did not have an appointment).

At the top of the contact lens record, untick the ‘use for recall’ box, update the expiry date to 12 months’ time, select the optom that prescribed the lens prescription and select the visit type ‘Update CL Rx’.


Click ‘Save’.


 

This would be the process for a contact lens trial for a new contact lens wearer -

The patient expresses an interest in wearing contact lenses and books a trial appointment.

If trials need to be ordered for the patient, then they can be added to the CL Trail form (accessed from either the CL Rx or Contact Lens Clinical Record form). An order can then be requested.

The patient then attends trial appointment.

Open the main Contact Lenses clinical record form.


Complete the ‘Visit Notes’ box with details of the patient’s requirement for contact lenses e.g. patient would like lenses for full time wear/social wear.



Open the trial lenses form.

If the trial lenses have not already been added to the form, then enter the details now.

Save the trial lenses.

Px goes away for short period of time to let lenses settle. Close the main contact lens clinical record and select ‘Close Without Confirming Details’.



Patient returns to complete trial appointment.

Open the CL Trial form from the Contact Lens Clinical Record form.

Double click to select the lenses.

Complete the VA’s and R and L comment notes with details of the contact lens fit.


To confirm the trials, click ‘Overwrite CL Record’.


This will copy the CL specification, and right and left notes into the main contact lens clinical record.

Complete the Outcome of the visit and recall etc…


Save and close the contact lens clinical record, selecting to confirm the details.
