This looks at opening both the Supervisor Notes program and i-Clarity.

 

Open your 'Supervisor Notes' program

Double click on the 'Supervisor Notes' icon on your desktop.

This program will open to the bottom right-hand corner of your screen, but you can relocate it to another area if you prefer. This program is linked to your machine so will register you as the user by default.

 

Opening i-Clarity

Double click on the i-Clarity icon.

Enter your i-Clarity password.

Click ‘Login’ or enter on the keyboard.

The practice name will be displayed in the branch box, click ‘Login’ again or press enter.

 

Finding the Patient Record in i-Clarity

The main search area is located at the bottom of the main i-Clarity screen.

You can type the patient's date of birth in the date of birth field. Once you have entered the date of birth, press enter on your keyboard to start the search. All the patients with this date of birth will be displayed in the search results box. Double click on the patient record you would like.

To search for a patient by name, you should type in either 'Male' or 'Female' search fields. The patient's name should be typed in the following format: surname comma space first name.

As you type the name, the possible options in the search results box will reduce. Again, if you double click on the patient record from the list in the results box it will become active.

It is the comma space that you type in the name field search box that signifies to the system you are switching the search from surname to first name.

You can use this comma space at any point when typing the name. For example, if you have a common, long, or difficult to spell surname you may wish to type only the first few letters of the surname followed by the comma space and then the first name.

For example:  sm, jo

The system is searching for any patients whose surname begins sm and whose first name begins jo.

You could also type the comma space into the name field first followed by the first name for example: , Mary.

The system is now ignoring patient surnames and just searching for patient records with the first name Mary.

 

Opening the Clinical Record

Along the bottom of the patient record are the record are the module icons.

To open the clinical record, click on the below icon.

The clinical records menu will open.

Click on the type of examination that the student is completing e.g. Clinical records for Eye examinations or Contact lenses.

Because the student you are supervising already has the clinical record open, you will be presented with the following message.

Click 'OK' to view the record in read only mode. The record will then open.

To leave a patient record at any time click the exit button.

 

Adding Supervisor Notes

If you want to record any notes in the separate supervisor program, click on the ‘Add Notes’ button of the home screen of the supervisor notes program.

This will open a supervisor feedback form for the examination that is open in i-Clarity.

By default, the clinical supervisor notes field will be open ready for notes.

Notes recorded in this section are your notes about the examination.

When you have finished adding notes you can click the ‘Save’ button or ‘Save and Home’ to return to the home screen and pick up another examination to make notes against.

Once the examination has finished, you have the option of saving the notes in this field as a pdf against the patient record. You may feel you want to do this if you have recorded a significant information about the examination that the student has not. You can do this by clicking on the ‘Create PDF’ button.

You have the option of recording your supervisor feedback that you record in Meditrek on this form.

If you would like this option, then click on the heading you would like to add notes to e.g. ‘General comments and feedback’ and then type your notes into the box that appear.

Please note: Your notes from this supervisor program will not get carried through into Meditrek and only the notes in the first 'Clinical Supervisor notes' section get saved to the pdf.

The notes, however, will be saved so that you can use copy and paste to enter them into Meditrak later.

 

Signing Off a Student Record

When the student has finished the examination, you need to sign off the clinical record.

Open the clinical record for the examination you are ready to sign off.

You may choose to write a note in the record (for example in Clinical Notes/Exam Outcome) advising you have saved supplementary supervisor notes which should be referred to.

To sign off the record click on the ‘Supervisor Sign-off’ Button.

A pop-up box will appear asking for your i-Clarity password.

Enter your password and click ‘OK’.

Your name will be recorded as the supervisor of this exam.

Click the 'Exit' button.

 

Exporting the Patient Details and Student Exam

The supervisor notes program will create a spreadsheet of all the examinations you have supervised that day so that it can be imported into Meditrek.

On the home screen of the supervisor notes, click the ‘Export’ Button.

This will open up a windows save window so you can select a location to save this file.

The file can then be imported into Meditrek.

The export file can be created:

  1. After each patient.
  2. At sporadic intervals throughout the day at your convenience.
  3. At the end of the day.
  4. Another day for your convenience e.g. tomorrow.

The file will create a list for all patients seen so far that day, the integration has been designed so no data will be duplicated if you do multiple imports, Meditrek will only update with new information.
